What it really is

Xero — cloud accounting software for small to mid-sized businesses.

Our take

Xero is a well-established cloud accounting platform covering invoicing, bank reconciliation, expense tracking, payroll, and real-time financial reporting. The DB incorrectly labels it as 'freemium' — Xero has no permanent free tier, only a 30-day/first-month free trial. The DB entry price of $22.99/mo is also outdated; current pricing starts at $25/mo for the Early plan.

Why we rate it

Unlimited users at a flat monthly rate means the per-user cost collapses as teams grow, making Xero exceptionally cost-effective compared to seat-based rivals. 1,000+ app integrations and an open API cement its ecosystem advantages.

The catch

Early plan has hard caps (20 invoices, 5 bills/month) that force fast-growing businesses up to $55/mo quickly; payroll is only available in select countries; some advanced modules (e.g. Xero Projects, Expenses in lower tiers) cost extra.

Best for
Small and medium businesses wanting cloud-native double-entry accounting
Teams with multiple users where per-seat tools get expensive fast
Accountants and bookkeepers managing multiple client entities
Not good for
Freelancers or sole traders who only need basic invoicing (cheaper alternatives exist)
Businesses outside Xero's supported payroll countries needing built-in payroll
Enterprises requiring complex ERP, manufacturing, or deep inventory management
Friction report
Time to value
Fast — bank feeds connect within minutes; first invoice sendable on day one. Initial chart-of-accounts setup adds an hour for new users.
Scale breakpoint
Early plan caps force an upgrade at modest volume; multi-entity businesses need separate subscriptions per org, which stacks cost quickly.
Walled garden
Moderate — data exports (CSV, PDF) are available, but bank feed connections and app integrations are tightly coupled to the Xero ecosystem.
