Expensify is expense management software from Expensify, Inc. of Portland, Oregon, used to scan receipts, file expense reports and reimburse staff. Its Submit plan is free for individual employees, Collect costs $5 per member a month, and Control costs $18 per member on an Annual subscription or $36 per active member on Pay-per-use, before any Expensify Card discount. That discount can halve the Annual rate, which is where the pricing page's lowest figure of $9 comes from. A first workspace includes a free 30-day trial, and the prices below were checked on 1 November 2026.

The bottom line

A capable expense tool whose cost turns on three choices: how many members you add, whether you accept a 12-month commitment, and how much spending goes on the Expensify Card.

What it is, and why we rate it

One line each. Open a row for detail.

What it really isExpense management software with a free plan for individual employees and per-member paid plans for companies, plus corporate cards, travel booking and bill pay.
Our takeIndividual employees pay nothing for Expensify's Submit plan, while companies pay per member.
Collect is $5 a month; Control is $18 per member on an Annual subscription or $36 per active member on Pay-per-use, and the Annual rate falls to $9 at the full Expensify Card discount. The pricing page shows only the lowest Control figure; the other rates are in Expensify's help center. Collect counts every member, active or not, and Control Annual is a 12-month commitment.
Why we rate itEvery plan price and billing rule is published, with the card discount explained, but the pricing page and the help center state the Control rate differently.
The catchThe lowest Control rate needs a 12-month commitment and Expensify Card spending, and most Annual subscriptions cannot be cancelled early.

Best / not good for

Best for
  • Individual employees who need to file expense reports for free
  • Small teams that want receipt scanning, reimbursements and card management at $5 a member
  • Finance teams that sync to QuickBooks, Xero, NetSuite or Sage Intacct
Not good for
  • Teams that want one flat price with no member counting
  • Buyers who cannot commit to 12 months but want the lowest Control rate
  • Organizations that will not put spend on the Expensify Card but expect the $9 rate
Trade-offs

Friction report

Trade-offs to know before signing up.

  1. Time to value
A first workspace includes a free 30-day trial, and the help center walks through creating a workspace, inviting members and turning on features.
  2. Scale breakpoint
Cost grows with headcount: 25 members cost $125 a month on Collect, and $450 a month on Control Annual at $18 per member before any card discount.
  3. Walled garden
The lowest Control rate depends on how much approved spend goes on the Expensify Card, and the terms say fees are non-refundable and plans renew automatically.

From Expensify's pricing page and its help center article Understand Expensify Pricing, read in a browser and checked 1 November 2026. Prices are in USD, billed monthly in arrears, and exclude taxes. The pricing page shows Control as custom pricing, as low as $9 per active member a month; the help center ties the $9 to an Annual subscription at the full Expensify Card discount and counts it per member included in the subscription size. The help center table lists a card-discounted $18 for Control Pay-per-use, while its text limits the discount to Annual subscriptions.

Arithmetic on the USD rates in the table above, not prices Expensify lists. Collect is members x $5; Control Annual is subscription size x $18, or x $9 at the full discount. The rows assume every member is inside the subscription size and leave out tax. Expensify's article says the discount rises in proportion to the share of approved USD expenses put on the Expensify Card and does not say what share earns the full 50%. Checked 1 November 2026.

Billing rules to check

ItemWhat Expensify states
Member countsA unique member is everyone in the workspace, active or not. An active member did billable activity in the billing month: creating, editing, submitting, approving or exporting expense data, or chatting with Concierge. Current Collect bills unique members; Control bills active members above the subscription size.
BillingExpensify bills monthly in arrears, so each bill covers the previous month. Taxes are not included. GBP, EUR, AUD and NZD prices are fixed regional prices, not converted from USD.
Annual subscriptionA 12-month commitment to a subscription size. You can increase the size at any time but not decrease it until renewal; active members above the size are billed at the Pay-per-use rate.
Cancelling AnnualMost Annual subscriptions cannot be cancelled before the 12 months end. A request is approved automatically only if you have been billed once and have no outstanding balance. Cancelling moves the workspace to Pay-per-use; deleting the workspace stops billing.
Expensify Card discountControl workspaces on an Annual subscription can get up to 50% off, based on the share of approved USD expenses put on the Expensify Card in the billing month. The pricing page footnote says the card pays 1% cash back on all US purchases with no minimums and 2% on monthly spend over $250K.
Free trialA first workspace includes a free 30-day trial; the trial is tracked under Account > Subscription, and a billing card is added to continue.
TermsTerms of service updated 10 September 2026: fees are non-refundable; a recurring subscription renews automatically unless you change your billing settings to month-to-month or cancel before it renews; Expensify can change prices with 15 days' notice before the next billing cycle.

Frequently Asked Questions

How much does Expensify cost?

Submit is free and Collect is $5 per member per month. The pricing page shows Control as custom pricing, as low as $9 per active member a month, while Expensify's help center gives the standard Control rates: $18 per member in your subscription size on an Annual subscription, plus $36 per active member above that size, or $36 per active member on Pay-per-use. The $9 figure is the Annual rate at the full Expensify Card discount. Collect bills every member in the workspace, active or not. Prices are in USD, billed monthly in arrears and exclude taxes (checked 1 November 2026).

Is Expensify free?

Partly. Expensify's Submit plan is free for individual employees: they can scan receipts, add categories and tags, and send reports to an approver who does not need an Expensify account, and its help center says submitting costs nothing. Submit leaves out approvals, payments, company cards, the Expensify Card, per diem, travel, invoices and accounting integrations. A company workspace on Collect or Control is paid, and a first workspace includes a free 30-day trial. Expensify words the free tier three ways: the homepage says it is completely free to use as an individual, the pricing page FAQ says expense categorization needs a paid plan, and the Submit plan card lists categories and tags, so check what your own account offers (checked 1 November 2026).

What does the Expensify Control annual commitment involve?

An Annual subscription is a 12-month commitment to a subscription size you pick at the start. Each month you pay for every member in that size, active or not, and any active member above it is billed at the Pay-per-use rate. You can raise the size at any time but cannot lower it until the subscription renews. Expensify says most Annual subscriptions cannot be cancelled early: a request is approved automatically only if you have been billed once and owe nothing, and cancelling moves the workspace to Pay-per-use instead of ending the charges. Only Control can take an Annual subscription, except legacy Collect pricing for organizations whose first workspace was created before 1 April 2025. The Expensify Card discount takes up to 50% off, in proportion to the share of the workspace's approved USD expenses put on the card that month; Expensify's help center article does not say what share earns the full 50% (checked 1 November 2026).

What does a small team pay for Expensify each month?

On Collect at $5 per member, 5 members come to $25 a month, 10 members to $50 and 25 members to $125. On a Control Annual subscription sized for 10 members, the standard $18 rate comes to $180 a month, or $90 at the full 50% Expensify Card discount; for 25 members it is $450, or $225. This is arithmetic on Expensify's published USD rates before tax, not a quote, and it assumes no active members above the subscription size (checked 1 November 2026).

Is Expensify a legit company?

Expensify, Inc. gives its address as 401 SW 5th Ave., Portland, Oregon, in its terms of service (updated 10 September 2026), and its investor relations site lists its shares on Nasdaq under EXFY, with a Form 10-Q for the second quarter of 2026. Its pages carry a copyright notice running from 2008. Expensify says money transmission is provided by partners, including Expensify Payments LLC (NMLS ID 2017010). Conversion Gems gives no verdict on safety; to check for yourself, read the terms, where fees are described as non-refundable and plans as renewing automatically, and the filings linked from the investor site (checked 1 November 2026).
